How to research a Calgary commercial property before leasing

01 · RESEARCH MANDATE

Define the property question before searching the address

Commercial property research becomes unreliable when a team starts with a broad address search and quietly treats every returned record as a fact about the proposed premises. Begin with a controlled question: which property and unit are being considered, who supplied the address, what business intends to operate there, what work is contemplated and which decision must the research support? A leasing screen, an LOI condition, a legal title review and an opening permit plan require different evidence.

Create one dated research file. Record the exact user query, the source-backed matched address, the municipality, property type, proposed operations, researcher and as-of date. Preserve an address mismatch instead of correcting it silently. Unit identifiers, consolidated parcels, corner properties, renamed streets and suite-level records can make a plausible search result belong to a different legal or operational subject.

  • Query address: what the researcher entered.
  • Matched address: what the official source actually returned.
  • Property identity: the parcel or titled land under review.
  • Premises identity: the exact leased unit, area, access and appurtenant rights.
  • Proposed use: the tenant's real activities, equipment, intensity, storage, hours and planned work.
02 · SOURCE STATES

Matched, not found and unavailable are not synonyms

A matched state means only that the search method returned one or more records that met the workspace's address-matching rule. It does not verify that the result is complete, current, legally operative or connected to the exact premises. Review the record identifier, source page, observation date and returned address before using the observation in a decision file.

Not found means the query returned no exact address-matched result. Unavailable means the source could not be reached or evaluated during that lookup. Neither state proves absence. The next step may be correcting the address, searching a parcel or permit number, ordering a City property report, using the Development Map, reviewing the source manually or obtaining help from the relevant authority.

03 · PROPERTY ASSESSMENT

Use the assessment record as an observation—not a valuation

Calgary's current-year property-assessment dataset can provide a dated address observation and fields such as roll year, assessed value, assessment class, community, land-use designation, year of construction or land size when published. These are useful orientation points and can expose identity questions. They should remain tied to the assessment dataset, record identifier and retrieval date.

An assessed value is not a market appraisal, acquisition price, financing value or lease-rate opinion. A published construction year does not establish the age or condition of every improvement. A land-use field does not approve the tenant's proposed operation. The workspace should show the observation and its limitation together so a decision-maker cannot detach the number from its source context.

04 · LAND USE AND PROPOSED USE

Research the tenant's operation, not just the district label

Calgary's Land Use Bylaw and district resources can help identify the published district and listed uses. That is the beginning of proposed-use review. The actual operation may involve storage, manufacturing processes, outdoor activity, vehicle movements, hazardous materials, food preparation, public assembly, after-hours work, emissions, signage or equipment that changes the planning and building-safety analysis.

The City states that commercial business approvals depend on the location, proposed activities and how the space was previously used. Describe those facts before asking whether the use is permitted or what approvals are required. A landlord representation, prior tenant, assessment label or map result should not replace confirmation with the Planning Services Centre, the authority having jurisdiction and qualified advisers.

  • Record every material activity and accessory activity.
  • Identify new construction, alterations, racking, equipment and service changes.
  • Separate land-use approval from building, fire, health and sector-specific approvals.
  • Confirm whether the record relates to the whole building or exact premises.
  • Build conditions and dates into the LOI and diligence plan where appropriate after legal review.
05 · PERMIT HISTORY

Read permit observations as leads to the underlying file

The City of Calgary publishes building-permit data and provides property-research options for historical, current and pending permits. An address-matched permit number, description, status or date can reveal prior work and give the team a precise lead for further research. Preserve the published wording; do not rewrite a broad permit description into a detailed statement about completed construction.

A permit record does not prove that every relevant permit was found, all work was built as approved, required inspections passed, occupancy was authorized, code issues do not exist or the tenant's new work is exempt. Obtain the underlying permit, plans, inspection and occupancy records required for the transaction, then involve the authority and qualified code, architectural and engineering professionals.

06 · BUSINESS LICENCES

A published business observation is not a tenant roster

Calgary's published business-licence dataset can return non-home-based business observations associated with an address. The trade name, licence types, published status and first-issued date may help identify questions about historical or apparent use. Keep the record attached to its official source, retrieval time and address-matching method.

Do not infer that a listed business is a current tenant, occupies the proposed premises, remains operational, holds a valid lease or controls space that is unavailable. Likewise, no exact match does not prove vacancy. Current occupancy and availability require authorized brokerage, owner, landlord or occupant evidence. The proposed tenant needs its own location-approval and licensing analysis.

07 · ALBERTA LAND TITLE

Move from civic address to current registry evidence

The Government of Alberta explains that current titles identify the owner and can list mortgages, caveats, easements, builders' liens and other registered interests. ARLO can support searches using identifiers such as title number, LINC, plan/block/lot, ATS and, in supported workflows, street address. Search results, previews and purchased products have their own terms and scope.

Record the title number, legal description, effective date, registry reference and reviewer—but avoid copying owner names into a general browser workspace. Obtain the relevant registered instruments where the lease team needs to understand access, rights of way, restrictive covenants, mortgages, non-disturbance issues or other registrations. Qualified counsel must assess ownership, authority, priority, legal effect and transaction impact.

08 · WHAT PUBLIC DATA CANNOT SEE

Inspect the building, services and environmental record separately

Municipal open data cannot tell a tenant whether the roof leaks, loading geometry works, slab and structure support the operation, electrical service is sufficient, sprinklers fit the commodity, HVAC performs, accessibility is adequate or a measured area matches the lease. Build the physical review from tours, plans, measurements, service evidence and qualified inspections, keeping each observation connected to its author and date.

Environmental diligence also requires its own mandate. Historical uses, government records and old reports may orient a qualified environmental professional, but a property-search result does not establish environmental condition or professional reliance. Determine the required assessment scope, standard, reliance, currency and legal review for the actual property and transaction.

09 · DECISION FILE

Convert observations into a review queue, not a property score

A single property score would hide the most important distinctions: source unavailable versus no match, current title versus old reference, published land use versus approved proposed use, permit observation versus closed underlying file, and building record versus exact premises condition. Use a review queue with severity, detail, next action, accountable owner and target date.

Export the source register, permit observations, business-licence observations, issue queue, research brief and portable file. Store controlled copies according to organizational privacy, confidentiality and retention requirements. When research changes, keep the prior dated snapshot instead of overwriting history without an audit trail.

10 · TRANSACTION HANDOFF

Carry sources into touring and due diligence without upgrading their certainty

The Property Tourbook should retain the candidate address, availability source, physical observations and decision status. Calgary Property Intelligence adds official-source orientation, but it must not convert a suitable building into an available premises. The selected candidate then moves into lease economics, negotiation and due diligence with unknowns intact.

The Due Diligence handoff should create received or requested evidence records for title, proposed-use review, permit history and business approvals. Municipal records remain unverified until the appropriate authority or adviser confirms what the transaction requires. The handoff is successful when it prevents re-keying while preserving the original source state and limitation.

Frequently asked questions

Can I find the owner of a Calgary commercial property with this tool?+

No. The workspace does not retrieve or store owner names. Obtain the current Alberta title through an appropriate registry workflow and have qualified counsel confirm ownership, authority and registered interests for the transaction.

Does the assessed value equal market value?+

No. The tool preserves the published municipal assessment observation. It does not convert assessment into appraisal value, sale price, financing value, market rent or investment advice.

Does a land-use designation mean my proposed business is allowed?+

No. Approval depends on the actual location, premises, activities, prior use, work and current rules. Confirm the complete proposed use and required approvals with the City and qualified planning, code and legal advisers.

Does a completed building permit prove the premises complies with code?+

No. A published permit status is an observation. Obtain the underlying file and required inspection, occupancy and professional evidence for the actual premises and planned work.

Can a business-licence match tell me who the current tenant is?+

No. A published licence observation does not establish current occupancy, a lease, operating status or premises control. Confirm occupancy through current authorized sources.

Does no business-licence match mean the property is vacant?+

No. A missing exact match is not evidence of vacancy or availability. It may reflect address, data-scope, licensing or timing differences.

Why can an official source show unavailable?+

The source request may fail, time out or be temporarily unreachable. The tool keeps that state separate from not found and does not infer any property fact from it.

Can I search a suite or bay separately?+

You can enter a complete civic address, but published datasets may match the parent building or use different unit conventions. Reconcile the returned address and record to the exact premises manually.

Are development permits and building permits the same?+

No. They address different approval questions and workflows. Determine which development, building, trade, fire, health, occupancy and other approvals apply to the actual use and work.

Does the tool replace a property-condition or environmental assessment?+

No. It does not inspect the property or establish physical, environmental, engineering, code, accessibility or safety condition. Engage qualified professionals for the required scope.

Where is my property research saved?+

The file is saved in local browser storage on that device. The official-source query runs through the site server, but title references, notes and the saved research file are not uploaded into an account database by this workspace.

Can I use the research in lease due diligence?+

Yes. The controlled handoff creates source-referenced received or requested records and an explicit public-record limitation risk. It does not mark municipal observations satisfied or verified automatically.
